All booths will be located in the Uptown Ballroom.

Single booths are 6'x8', double booths are 6'x16', and both include complimentary Wi-Fi and the following:

  • 6' draped table
  • Two chairs
  • Wastebasket

Center booths are 12'x16' and include complimentary Wi-Fi and the below upon request:

  • 6' draped table
  • Two chairs
  • Wastebasket

All booths must fit within the dimensions outlined above. All other equipment, including monitors and electrical power, must be ordered through the Westin using the exhibitor order form. Aite-Novarica Group and RBR do not have specific requirements as to what you may bring for your booth. Pull-up banners, giveaways, marketing material, etc., are allowed as long as they fit within your designated booth area. 

Center booth builds:

Center booths are free standing and will be marked out with tape. Please note the ceiling height in the Uptown Ballroom is 11'. The maximum height of the center booths is 9 feet. The hotel is unable to accommodate forklifts; all machines will need to come in through hand-operated pallet trucks. If you need additional set-up time past 4PM, please contact Danielle Allard at [email protected].

Aite-Novarica Group and RBR reserve the right to move booth locations if necessary. Booths are allocated on a first-come-first-served basis; if you have not yet stated a preference for booth location, please let Siobhan Scanlan or Amanda Hardy know as soon as possible.

Sponsors may not adhere anything to the walls of the hotel at any time during the conference. The hotel is the exclusive provider of all food and beverage services, and sponsors are prohibited from distribution of any food or beverage within their booth. 

Sponsors are responsible for any loss or damage to their property, to other sponsors’ property, or to the venue that are caused by their employees’ or agents’ actions. Sponsors should ensure they have adequate commercial liability insurance.

The Westin has one loading dock available for sponsor load-in and load-out. Center booths will be allocated the first loading bay slots followed by double booths and then singles. Please contact Alex Cheatwood at [email protected] by Friday, May 26 to coordinate your loading bay time slot. Slots are allocated on a first-come, first-served basis. 

The service elevator's dimensions are:

  • Height - 7ft.11in
  • Depth - 8ft
  • Width - 5ft. 9in.
  • Door Width - 4ft.

Loading Dock Door:

  • Height - 6ft. 8in.
  • Width - 5ft. 10in.

Garage Measurements:

  • Entrance Height - 8ft. 2in.
  • Garage Height - 6ft. 8in.

Loading Dock Access:

  • The loading dock is accessible via E Brooklyn Village Ave (between College Street and South Blvd). Uptown Ballroom, where the exhibits are located, is on the Lobby Level. 

Vehicle Restrictions:

  • No vehicle taller than 12' will be permitted
  • Trucks 48-50' are permitted. Any trucks from 50-58' can be accommodated, but there is a very tight space between the street and the dock. The driver will need to be extremely skilled to get a truck of that size in. 

Information needed for scheduling:

  • Number of vehicles docking
  • Name of contact who is using the dock
  • Approximate time needed

The hotel loading dock does not provide or supply carts, dollies, hand trucks, etc. It is recommended that sponsors bring their own loading/unloading equipment. There is no storage allowed on the loading dock.

Upon arrival, trucks must sign in with the dock staff. Anyone entering through the back of house will be issued a badge.

Parking is not allowed at the loading dock outside of the designated time slot. Once the truck has completed the delivery, it must leave the loading dock area. 

Our vendor for lead retrieval is American Tradeshow Services (ATS). Lead retrieval devices are only available to sponsors who have purchased a booth. Aite-Novarica Group and RBR will provide one lead retrieval device in the form of the MobilePlus™ handheld unit or the LeadsPlus™ App only. Sponsors will be able to access lead information that includes first and last name, title, company, email, state, country, and phone number (when available). Alex Cheatwood will reach out directly with additional information on these devices. If you would like to purchase additional devices/apps for your booth at a rate of $249 per device/app, please reach out to Alex Cheatwood at [email protected]. Lead device selection, including the purchase of additional devices, is due by Friday, May 26.

Exhibitor Options:

The MobilePlus™ is a handheld, battery-powered unit. Users will be able to customize their qualifiers and take personal notes with its large color touch screen. Real-time lead management software is included. No network connectivity is necessary.

Use your personal device with the LeadsPlus™ Application. It is compatible with iPhones, iPads, or Android phones. No network connectivity is necessary for scanning leads. Custom qualifiers, note-taking capabilities, and real-time lead management software are included.

Domestic shipping services will be provided by Airways Freight. Aite-Novarica Group and RBR will pay for material handling fees associated with the service. Sponsors are responsible for shipping to the warehouse listed below, and out of the conference if needed.

Shipping out of the Conference

Sponsors shipping out of the conference, must have pre-paid labels adhered to their packages. Sponsor should leave their packages to be shipped out at their booth at the end of the conference. Airways Freight will pick up all packages and ship them out via their warehouse. Aite-Novarica Group and RBR will pay for the material handling fees associated with the service. Sponsors are responsible for providing the pre-paid shipping label on their boxes. For labeling purposes, please use the address below as the origin point:

Retail Bank Transformation USA attendees will receive a discounted room rate of $239 + tax per night at The Westin Charlotte from June 26 through June 30. Rooms within our block are limited, so we recommend making your room reservations in advance. 

Reservations must be made before May 19, 2023 to receive the special room rate.

General: All emergency exits and doors must remain clear of debris at all times. Sponsors must accede to requests from venue employees. No equipment may be moved into or out of the venue during the conference.

Insurance:  Care should be taken to avoid causing damage to any part of the exhibition hall and
wider venue. Sponsors/exhibitors shall be liable for any reparation charges incurred. Sponsors/exhibitors
and their independent contractors agree to obtain and maintain appropriate commercial liability insurance
for the event to cover any damage, losses or liabilities relating to their own employees and equipment, the
venue and venue staff, and conference delegates.

Security: Sponsors/exhibitors agree that they are wholly responsible for protecting their property
on and off the venue premises. In no case will Aite-Novarica Group or RBR be responsible for theft, loss or damage to sponsors'/exhibitors’ products, exhibit space, or display.

Operation of Exhibits: Displays in exhibit spaces must be designed and operated in a manner
that respects the rights of other exhibitors and attendees. Displays, must be located within the allocated space and must not block views or access to other exhibitors. In such circumstances Aite-Novarica Group and RBR reserve the right to request changes to exhibition booths, and if satisfactory resolution cannot be achieved to move or remove the exhibitor. The conference venue is the sole provider of food and beverages provided at the conference. Items such as coffee/juice machines and the provision of alcoholic beverages in exhibit booths are not permitted.
